1Introduction

Welcome to Invoice Pro. We are committed to protecting your business and personal information. This Privacy Policy explains what we collect, how we use it, who helps us process it, and the choices you have when you use our mobile application.

2Information We Collect

To provide professional invoicing services, we collect the following types of information:

• Business & Client Data: Names, emails, phone numbers, and addresses you enter for your business profile and your clients, plus the items and services you save.
• Invoice Details: Line items, descriptions, prices, tax and discount information, payment status, notes, and your document settings (template, colour, currency, and language). PDFs are generated on your device.
• Account Data: By default we use anonymous authentication via Firebase, which creates a unique identifier (UID) to secure your data without an email or password. If you choose to sign in with Apple or Google, we receive the name and email address that provider shares with us (with Sign in with Apple you may hide your email using Apple's private relay address).
• AI Scan & Voice Content: Only when you use these Pro features, the photos or document scans you capture and the voice notes you record, as described in Section 3.
• Subscription Info: We use RevenueCat to manage "Pro" purchases. We track the plan, purchase status, trial or offer status, and expiration dates to provide premium features.
• Usage & Analytics Data: How the app is used, such as screens viewed, features used, counts of documents and clients (in ranges), onboarding answers (for example your business type and default currency), language and appearance settings, and subscription status. Analytics never include your names, emails, phone numbers, addresses, invoice numbers, or the text of your documents.
• Technical Data: Device model, OS version, app version, and the vendor device identifier (IDFV) used for syncing and purchase recovery. The advertising identifier (IDFA) is collected only if you allow tracking (see Section 5).

3AI Scan & Voice Features

Pro includes optional AI tools that turn a scanned document or a voice note into a draft invoice:

• What is sent: When you choose to scan or record, the image(s) or audio recording are sent to Google's Gemini models through Firebase AI Logic, together with today's date, your time zone, and your business name and email (so the AI can tell your details apart from your client's).
• What it is used for: Only to extract a draft (client, items, prices, dates, and notes) that is placed into the invoice form for you to review. Nothing is saved unless you save the invoice yourself.
• What we keep: We do not upload your scans or recordings to our storage or keep them after the request completes. We store only a monthly count of how many scans and voice notes you have used, so we can apply your allowance.
• Live captions: The captions shown while you record are produced on your device by Apple's speech recognition and are not sent to us or to Google.
• Google's processing: Content sent to Gemini is processed by Google under the Firebase and Google Cloud terms and data processing commitments that apply to our use of the service.

Please avoid scanning or recording information you do not need on the invoice, and always review AI results before using them.

4How We Use Your Data

Your information is used solely to:

• Create, manage, and sync your invoices and estimates across your devices and accounts.
• Provide AI Scan and Voice features when you use them.
• Manage your subscription status and provide access to "Pro" features and offers.
• Send invoice reminders and other notifications you have allowed.
• Understand how the app is used, improve features and performance, and fix technical issues.
• Measure which of our ads lead people to Invoice Pro, only if you allow tracking.
• Secure your account, prevent abuse, and prevent unauthorized access to your data.

5Tracking & Advertising Measurement

The app may ask for permission to track you through Apple's App Tracking Transparency prompt. If you allow tracking, your advertising identifier and related device identifiers are shared with RevenueCat and Google (Firebase) to measure the effectiveness of our ad campaigns. If you do not allow tracking, no advertising identifier is collected and ad-related data collection stays turned off.

You can change this choice at any time in iOS Settings → Privacy & Security → Tracking. Your invoices, clients, and business details are never shared for advertising.

6Device Permissions

• Camera: Used only to scan documents for AI Scan.
• Microphone: Used only to record voice notes for AI Voice.
• Notifications: Used for invoice due-date reminders, estimate follow-ups, and custom reminders you set. These are scheduled on your device.
• Home Screen Widget: A summary of today's invoices is stored on your device so the widget can display it.

You can turn off any of these permissions in iOS Settings; the rest of the app keeps working.

7Data Storage & Third Parties

We use industry-standard services to provide a seamless experience:

• Firebase (Google): Authentication, Firestore (encrypted cloud storage of your business data), Analytics, Remote Config, App Check (to protect our services from abuse), and Firebase AI Logic with Gemini (for AI Scan and Voice).
• Sign in with Apple & Google Sign-In: Used only if you choose to sign in with those accounts.
• RevenueCat: Used to process and sync subscription status across devices and, with your permission, for ad attribution.
• Apple: Payments are handled exclusively by the App Store. We never receive or store your card details.

These providers may process data on servers located outside your country. We never sell your data to third parties.

8Data Retention & Deletion

We keep your data for as long as your account exists so it can sync across your devices. You can access, edit, or delete your business profiles, clients, items, invoices, and estimates at any time within the app.

• Signed-in accounts: You can delete your account from the account screen in Settings. This permanently deletes your account and the invoices, estimates, clients, items and services, business profiles, purchase records, and AI usage records stored with it.
• Anonymous use: Deleting the app removes your access to anonymously stored data. To have that data removed from our servers, contact us at the address below.

Deleting your account does not cancel an active App Store subscription; manage or cancel it in your Apple ID settings. Analytics data is retained for a limited period under Firebase's retention settings.

9Children's Privacy

The app is a business tool and is not directed to children under 13 (or the minimum age in your country). We do not knowingly collect personal information from children.

10Changes to This Policy

We may update this Privacy Policy as the app changes. We will revise the "Last updated" date above, and for significant changes we may also notify you in the app.
